DELEGATE TERMS AND CONDITIONS

These Terms and Conditions (“Terms”) apply to all individuals who register for, attend, or participate in the UK Global R&D and Science Investment Summit taking place between 8–10 June 2026 at the Royal Society, 6–9 Carlton House Terrace, London (the “Event”). By registering for or attending the Event, you agree to be bound by these Terms.

In these Terms, “Organiser” means Loughborough University acting on behalf of the Invest in UK University Campaign via Midlands Innovation, the collaboration of universities forming the Midlands Innovation partnership, and “Delegate”, “you”, or “your” means any person attending the Event in any capacity, including delegates, guests, speakers, and panellists.

TERMS

1. Admission and Registration

1.1 Admission to the Event is subject to you registering your attendance in advance, and the Organiser accepting the registration.

1.2 The Organiser reserves the right to refuse, revoke, or limit admission at its sole discretion, including for security, capacity, or safety reasons.

1.3 Event passes and badges are personal to the named Delegate and may not be transferred, shared, or resold without the Organiser’s prior written consent. You may not allow another person to use your Event pass.

1.4 Delegates may be required to present valid identification and registration confirmations for entry or security screening.

1.5 Admission to individual sessions is subject to room capacity, and access cannot be guaranteed.

2. Behaviour and Conduct

2.1 Delegates must conduct themselves in a professional, respectful, and lawful manner at all times.

2.2 Harassment, discrimination, abusive language, disruptive behaviour, or any act that may cause discomfort or risk to others is strictly prohibited.

2.3 The Organiser reserves the right to remove any Delegate who breaches these Terms or behaves in a manner deemed inappropriate, without refund or compensation.

3. Venue Rules

3.1 Delegates must comply with all policies, instructions, and safety procedures of The Royal Society (the “Venue”), including security screening, access restrictions, and fire safety instructions.

3.2 Delegates must not damage, alter, or improperly use any Venue property.

3.3 Delegates must not enter any non-public areas of the Venue.

3.4 Any Delegate who fails to comply with Venue rules may be refused entry or required to leave the premises immediately.

4. Health and Safety

4.1 Delegates must comply with all health and safety instructions issued by the Organiser, the Venue, or security personnel.

4.2 Any accident, injury, or unsafe condition must be reported immediately to Event staff.

5. Photography, Filming and Media

5.1 The Event may be recorded or photographed by the Organiser for promotional, reporting and archival purposes.

5.2 By attending the Event, you consent to the capture and use of your image, likeness, and voice for these purposes.

5.3 If you do not wish to be photographed, you must inform the Organiser in advance and avoid areas where filming is taking place.

5.4 Delegates may take personal photographs during the Event, unless the Organiser or Venue restricts this.

6. Security

6.1 Delegates may be subject to bag checks upon entry to the venue and other security policies enforced by the venue.

7. Payment and Cancellation

7.1 Tickets to the event are free.

8. Data Protection and Privacy

8.1 The Organiser shall process data in accordance with the applicable UK Data Protection legislation.

8.2 Personal data collected for registration, accreditation, security or operational purposes will be used solely for Event administration and safety.

8.3 During registration, Delegates will be offered the opportunity to optin to the sharing of their personal data with Event sponsors. Where a Delegate provides such consent, the Organiser may share the Delegate’s name, job title, organisation, and contact details with the sponsors identified at registration.

8.4 Where a Delegate has consented under clause 8.3, Event sponsors may contact the Delegate for the purposes described at the time consent was obtained, including postEvent followup and marketing communications. Delegates may withdraw consent at any time by contacting the Organiser or the relevant sponsor directly.

8.5 Unless a Delegate has expressly opted-in, the Organiser will not share Delegate personal data with sponsors for marketing or promotional purposes.

8.6 To support networking, the Organiser will include your name, organisation, role and email address in a Delegate directory to be shared with other Delegates. You can opt-out when registering your attendance or at any other time by contacting events@invest-uk-science.com 

8.7 The Organiser may use thirdparty service providers to support Event administration, including registration, accreditation, and logistics, and may share personal data with such providers strictly for that purpose and subject to appropriate contractual safeguards.

9. Accessibility

9.1 The Organiser aims to ensure the Event is accessible for all Delegates.

9.2 Delegates requiring adjustments or assistance must notify the Organiser in advance.

9.3 The Organiser will use reasonable efforts to meet accessibility needs, subject to Venue constraints.

10. Programme Changes and Cancellation

10.1 The Organiser may alter the Event programme, speakers, timings, or venue location at its sole discretion.

10.2 The Organiser does not guarantee the delivery of any advertised session.

10.3 If the Event is postponed, moved, or cancelled due to circumstances beyond the Organiser’s control, the Organiser shall not be liable for any costs incurred by Delegates, including travel or accommodation expenses.

10.4 The views, opinions, and statements expressed by speakers, panellists, or other contributors at the Event are their own and do not necessarily reflect those of the Organiser or the Venue. The Organiser is not responsible for any such views, opinions, or statements.

11. Limitation of liability

11.1 Delegates attend and participate in the Event at their own risk.

11.2 The Organiser and the Venue are not responsible for loss of, or damage to, personal property. Any property left unattended is left at the Delegate’s own risk.

11.3 Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any matter which cannot be lawfully excluded.

11.4 To the fullest extent permitted by law, the Organiser excludes all liability for:

(a) indirect or consequential loss;

(b) loss of profits, business, or opportunity; and

(c) any damages arising from Venue decisions or restrictions.

11.5 Subject to clause 11.3, the Organiser’s total aggregate liability to any Delegate shall be nil.

12. Intellectual Property

12.1 All intellectual property rights in Event content, materials, branding, and recordings belong to the Organiser or relevant third parties.

12.2 Delegates may not copy, reproduce, distribute, or use Event materials for commercial purposes without written permission.

13. Severance

13.1 If any provision or part-provision of this agreement is or becomes invalid, illegal or unenforceable, it shall be deemed modified to the minimum extent necessary to make it valid, legal and enforceable. If such modification is not possible, the relevant provision or part-provision shall be deemed deleted. Any modification to or deletion of a provision or part-provision under this clause shall not affect the validity and enforceability of the rest of this agreement.

14. Governing Law and Jurisdiction

14.1 These Terms and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with them or its subject matter or formation shall be governed by and construed in accordance with the law of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
